Who we are and what we do
The Academic Management Services (SGA) are responsible for supporting the management, organisation and provision of services concerning degree and non-degree courses at the University of Coimbra, and the corresponding support to the Applicants, Students, Alumni, and other Requesters that request our services.
The set of services that are provided includes the academic procedures developed within the scope of an academic pathway at the UC, from the application to the issuance of a diploma, as well as the more specific services such as the recognition of a foreign degree or diploma, the management of tenure exams, Aptitude Exams to perform the functions of scientific coordination and the special system for thesis submission. The SGA is also responsible for the in-person, email, and telephone/skype assistance, which are provided within the scope of all the aforementioned issues and audiences
The direction manages the activities of the Academic Management Services (SGA) in order to, along with the direction of each area, implement the services and competencies assigned to the services. It is directly responsible for common activities, such as the archive of Students files, data analysis and processing, documents circulation, technical and legal support for protocols, regulations and situations that are cross-cutting to all the different areas of activity of these services.
The Course Offer, Assessment and Studies Division (DOFAE) is responsible for: creating, changing and closing courses, accrediting new cycles of studies, assessing cycles of studies already in operation, processing and preparing statistical data and data requested by various entities, including the supervising authority, by establishing action goals based on the management policy established for the Academic Management Services. It is responsible namely for: ensuring the permanent updating of the information published on the web pages concerning the courses offer; carrying out studies, rendering opinion reports and providing information within the scope of its competence; following up the management of compliments, suggestions and complaints concerning the workings of the SGA.
The DDC is responsible for: coordinating, planning and managing the academic procedures concerning the students of the 3rd cycle of studies and concerning the certification and recognition of foreign degrees. Therefore, it is responsible for, namely: managing the procedures concerning the academic pathways of students and alumni of 3rd cycle courses; organising the procedures leading to the implementation of the PhD Exams, Tenure Exams and other Exams that may be assigned to it; ensuring the issuance of diplomas, certificates, declarations and Formal Diplomas, PhD Formal Diplomas, and Tenure Diplomas; receiving the requests for recognition of foreign degrees and diplomas and organising their procedural handling until the communication of the decision
The DGF is responsible for coordinating, planning and managing the academic procedures concerning the students of the 1st and 2nd cycles of studies, and is responsible for the pre-graduate courses and continuous training. Therefore, it is responsible for, namely: organising and ensuring the application procedure to courses and cycles of studies, by ensuring specialised technical support to the organisational units, within the scope of its competence; ensuring the registration and validation of the activities concerning the student mobility, the awarding of ECTS credits, the recognition of special rights, the registration of disciplinary sanctions and other situations relating to the students' pathway; organising the entire procedure relating to scholarships and prizes awarded by the UC; ensuring the necessary procedures for the operation of non-degree courses promoted by the Rectorate, including courses under the Recovery and Resilience Plan, short courses and teacher training courses.
The DAT is responsible for the interface of the students, applicants and other entities with the Academic Management Services, in a logic of proximity with its interlocutors. Therefore, it is responsible for namely: ensuring a personalised, in-person and by telephone assistance; providing all the clarifications about the academic procedures, namely those concerning enrolments, registrations, passage to the subsequent curricular year, tuition fees and other charges, applications concerning the courses offer and by means of the different systems of access and admission, awarding of ECTS credits, special systems of attendance, awards and merit scholarships of the UC and academic certification documents (certificate, diploma, formal diploma); organising and managing the Higher Education Access Office whose aim is to support and provide information within the scope of the applications to Higher Education by means of the National Contest of Access and Admission. - The DAT comprises the: a) Legal Support Unit for the Academic Area [UAJAA] ; b) Unit for Tuition Fee, Fees and other Charges [UPTE]
The UPTE is responsible for: ensuring the implementation of the in-house rules that provide for special situations concerning exemption from, or reduction of, tuition fees; managing the debt recovery procedure for students and alumni, in coordination with other services and bodies of the UC; analysing the situations concerning support for students with an impact on the tuition fees, namely those linked to scholarships from the Foundation for Science and Technology and similar scholarships from other national or foreign entities (such as CAPES), as well as third-party payments, including incentives within the scope of the Recovery and Resilience Plan; and developing other activities assigned to it by the Direction of the Service.
The UAJAA is responsible for: ensuring the provision of specialised legal advice services to the Academic Management Services; analysing and issuing opinion reports, and technical and legal information on academic issues; collaborating in the preparation, review and interpretation of legal documents such as regulations, protocols, agreements and cotutelles; and developing other activities assigned to it by the Direction of the Service.
